The ODP Corporation Board of Directors Coordinator in Boca Raton, Florida

Overview

Reporting directly to the Executive Vice President and Chief Legal Officer (CLO), the Board of Directors Coordinator provides critical executive support, serving as the primary point on matters pertaining to the Office of the CLO. The Board Coordinator will also act as a liaison to the board of directors and senior management team and will support executive outreach and external relations efforts.

The ideal candidate will have the ability to exercise good judgment in a variety of situations and bring strong communication, as well as administrative and organizational skills.

*This will be a hybrid role and candidates must be available to work onsite at our Boca Raton, FL HQ two days per week at minimum.

Primary Responsibilities:

  • Resolve routine and complex inquiries. Complete a broad variety of administrative tasks, including managing an active calendar of appointments; completing reports; composing and preparing correspondence; arranging complex travel plans, itineraries and agendas; and compiling documents in preparation for events and meetings. Screen telephone calls, emails, and other correspondence and make independent decisions regarding priorities of calls, emails and correspondence.

  • Interact with a high frequency to senior level internal and external contacts with regular exposure to confidential data, i.e., the Board of Directors. Serve as the liaison and event coordinator for the company’s Board of Directors, working in partnership with senior management team members. Organize board meetings, coordinating logistics, collecting, and preparing board materials, and assisting board members with travel arrangements, lodging, and other items as needed.

  • Plan and coordinate internal and external events including executive team meetings. Prepare correspondence, memoranda, reports etc. Initiate routine and non-routine correspondence. Prepare and distribute minutes of meetings.

Education and Experience:

  • Level of Formal Education: Associate's degree or equivalent experience

  • Years of Experience: Minimum 10+ years of experience in related field

  • Minimum of ten years of Executive Administrative experience.

  • Minimum three years supporting an executive level officer, preferably one of a publicly held company

  • Prior experience working with a board of directors is a plus.

  • Technical Competencies & Information Systems: Microsoft Excel, Word, Access, PowerPoint and Outlook

  • Skills & Abilities:

  • Superb oral and written communication and presentation skills.

  • Ability to compose correspondence, research, and prepare documents.

  • Understanding and application of proper punctuation, spelling and grammar including proofreading skills.

  • A strong sense of initiative with the ability to multitask, anticipate executive needs, and deliver on time.

  • Excellent organizational skills and strong attention to detail.

  • The ability to work with confidential and sensitive information in a discrete manner.

  • Work independently with only general guidance on a variety of special projects.
